Most small businesses do not lose leads because their service is poor. They lose them because the enquiry sat unanswered in an inbox for two days. Automating the first steps of follow-up fixes that, and you do not need a large team or an expensive CRM to do it. This guide shows how a tool called n8n can do it.
What n8n is
n8n is a workflow automation tool. You connect apps you already use, such as your website form, email, Google Sheets, a CRM or Slack, and describe what should happen when something occurs. Each workflow is built from steps called nodes. n8n can run on its own server, which suits businesses that want control over where their data lives.
The problem with manual follow-up
When an enquiry arrives, someone has to notice it, copy the details somewhere, reply and remember to check back. Each of those steps depends on a person being free at that moment. Enquiries that come in at night, on weekends or during a busy project are the ones that slip.
A simple lead follow-up workflow
Here is a workflow that works for most service businesses. It has five steps.
- Capture. Your website form sends the enquiry to n8n through a webhook, a web address that n8n listens on.
- Record. n8n adds the name, email, service and message to a Google Sheet or your CRM, so every lead is in one place.
- Notify. n8n sends you a message by email or Slack with the details, so you know within a minute.
- Reply. n8n sends the person a short, honest acknowledgement: you received their message and when they can expect a proper answer.
- Remind. If the lead’s status is still “new” after two days, n8n reminds you to follow up.
None of these steps replaces your own judgement. They only make sure nothing is missed and that the person hears from you quickly.
What to get right
- Write the automatic reply carefully. It should say plainly that it is an automatic acknowledgement and give a real timeframe you can keep.
- Protect personal data. Collect only what you need, store it in a place with proper access control, and mention it in your privacy policy.
- Test with your own enquiry first. Submit the form yourself and check each step, including what happens if an email address is mistyped.
- Plan for failures. Set n8n to alert you if a step errors, so a broken connection does not silently drop leads.
Where to go from here
Once the basic workflow runs reliably, businesses often extend it: routing leads by service type, adding enquiries to a calendar for a call, or sending a proposal template. Start small, confirm it works, then add one step at a time.
